How to Fill Out a Rent Receipt (Step-by-Step Guide + Example)

Step-by-Step Walkthrough

  1. Landlord/property manager name. Enter your name or your property management company’s name at the top of the receipt.
  2. Tenant name. Use the name on the lease agreement to avoid any ambiguity.
  3. Property address and unit number. Especially important if you manage more than one property or unit.
  4. Rental period covered. State the exact period — “March 1–31, 2026” — not just the month the payment happened to land in, since these can differ if rent is paid early or late.
  5. Amount paid and payment method. Record the figure and how it arrived — cash, cheque, bank transfer or an app like Venmo or Zelle.
  6. Balance due, if partial. If the tenant paid less than the full rent, note the remaining balance clearly.
  7. Date received. The actual date the payment was received, which may differ from the rental period it covers.

Worked Example

Sarah Boyle owns a duplex and rents Unit 2 to a tenant named Daniel Ruiz for $1,450/month. Daniel pays by e-transfer on the 1st of each month. For March, Sarah’s rent receipt would read:

The rental period is the field most often left vague or omitted entirely — many landlords just write the date they received payment and assume it’s obvious what month it covers.
