Why Drivers and Cab Companies Should Offer Receipts

Ride-hailing apps email receipts automatically, but street-hail taxis, airport transfer services, private-hire drivers and small cab companies often don’t have a system that does. Business passengers usually need an itemized receipt to claim the fare from their employer, and many will choose — and re-book — the driver who can provide one on the spot. A clear receipt with your vehicle number and contact details is also free advertising.

How to Issue a Taxi Receipt

  1. Enter your name or company. Add your taxi company name or your own name as the driver, and your logo if you have one.
  2. Add the vehicle and trip details. Vehicle or license number, pickup, drop-off, date and time, and distance.
  3. Enter the fare as a line item. Put surcharges (airport, tolls, night rate) on separate lines and any tip in the Tip field.
  4. Choose the payment method. Cash, card or online payment, exactly as the passenger paid.
  5. Send or print it. Download as PDF, PNG or JPEG — JPEG is the easiest to send over WhatsApp.

Do I have to give a passenger a receipt?

Rules vary by city and licensing authority — many taxi licenses require drivers to provide a receipt when the passenger asks. Check your local licensing conditions; offering one every time is good practice either way.

Yes, ask the driver or the cab company. Licensed taxis and most cab companies can give a printed or emailed receipt on request. If you drive, this generator lets you give one even without a meter printer.

Is a cab receipt the same as a taxi receipt?

Yes. "Cab" and "taxi" mean the same, so a cab receipt shows the same details: who drove, the vehicle, the trip and the fare. Private-hire and airport-transfer drivers can use the same template.
