A cash receipt is the simplest form of proof-of-payment: who paid, how much, what it was for, and who received it. Because cash leaves no bank trail, this piece of paper (or PDF) is often the only record a transaction happened. Use the form above to generate one with just a few fields filled in.
Why a Cash Receipt Matters More Than People Think
Card and bank transfers create their own automatic record. Cash doesn’t — which is exactly why a cash receipt carries more weight than it might seem to. It protects the payer from being asked to pay twice, it protects the recipient by documenting income for bookkeeping and tax purposes, and in a dispute, it’s frequently the only evidence either side has that money changed hands at all.
How to Write a Cash Receipt
- Record who received the payment. Add your name or business name at the top.
- Enter who the payment was received from. Full name is best, especially for larger amounts.
- State the amount and what it was for. Add a short, specific description — “deposit for catering,” not just “payment” — so the receipt is unambiguous later.
- Note any balance still owed. If this was a partial payment, record what’s still outstanding.
- Download and hand it over immediately. A cash receipt is most useful when it’s given at the moment of payment, not reconstructed days later.
What Should a Cash Receipt Include?
- Date of payment
- Amount received, written in figures (and ideally in words for larger amounts)
- Who paid and who received the money
- What the payment was for
- Payment status — paid in full, or balance remaining
- Signature line, if a physical/printed copy is being used

Do I need a cash receipt for every cash payment?
Not legally required for every transaction everywhere, but strongly recommended for anything beyond a small, casual amount — especially deposits, partial payments, or any payment likely to be disputed later.
What’s the difference between a cash receipt and a sales receipt?
A cash receipt simply confirms cash was received; a sales receipt (like our restaurant or retail templates) itemizes exactly what was purchased. Use the cash receipt when the payment itself — not a list of goods — is what needs documenting.
Can I use this for a security deposit?
Yes — note “security deposit” as the payment reason and record it clearly as not being rent or purchase payment, so there’s no confusion later about what the money was for.
Is a handwritten cash receipt still valid if I generate one digitally instead?
A digital receipt documents the same information a handwritten one does and is generally treated the same way, as long as it accurately reflects what happened. If you need a physical copy, simply print the PDF.
