Why Parts and Labor Should Be Itemized Separately

A repair bill that just says “$450 — brake job” tells a customer nothing about what they actually paid for. Splitting parts cost from labor cost is standard practice at any real shop: it shows the customer where their money went, it protects the shop if a warranty claim comes up later (parts warranties and labor warranties are often handled differently), and it makes the shop’s own bookkeeping and inventory tracking dramatically easier.

How to Create an Auto Repair Receipt

  1. Add your shop name and logo. This appears at the top, giving the receipt a professional, official look.
  2. Enter the vehicle details. Make, model and mileage are the minimum — VIN is worth adding for higher-value repairs or warranty work.
  3. List parts as separate line items. Each part gets its own row with quantity and price.
  4. List labor as its own line item. Add labor hours and your hourly rate, or a flat labor charge for the job.
  5. Add warranty notes and download. Note any parts or labor warranty in the notes field, then export as a PDF the customer can keep with their vehicle records.

Should I list parts and labor on the same line?

No — keep them as separate line items. This matches how real repair shops bill and makes any future warranty claim much easier to process, since parts and labor warranties often have different terms.

Can I include the vehicle’s VIN?

Yes — add it in the vehicle details or notes field. It’s optional for small jobs but worth including for major repairs, insurance claims, or warranty-covered work.

How do I show a warranty on parts or labor?

Add the warranty terms in the notes field — for example, “Parts: 12-month manufacturer warranty. Labor: 90-day shop guarantee.”

Can mobile mechanics use this receipt template?

Yes — there’s no requirement for a fixed shop address; enter your mobile service business name and contact details instead.

Listing Parts Like an Alternator or Engine Rebuild

Put each part on its own line with the part name and number, for example "Alternator, remanufactured, part no. ..." or "Engine rebuild kit", then labor as a separate line with the hours and rate. Note whether a part is new, used or remanufactured and any warranty. A clear parts-and-labor receipt is what customers need for a warranty claim or to show a buyer when they sell the car.
