To create a freelance work receipt, list your business name, the client’s name, a description of the project or service, the amount paid (hourly or fixed), the payment date and method, and the total. Use our freelance receipt generator to produce a branded PDF in under a minute.
Hourly vs. Fixed-Project Receipts
The two most common freelance billing structures need slightly different treatment on a receipt:
Hourly billing
Add your hours worked as the quantity and your hourly rate as the price on a line item — the generator multiplies these automatically. If you tracked time across multiple tasks, add each as its own line for transparency.
Fixed-project billing
Add the agreed project fee as a single line item. If the project was paid in installments or milestones, generate one receipt per payment and note which milestone it covers.

Should You Send a Receipt Even If You Already Invoiced?
Yes. The invoice requested the payment; the receipt confirms it arrived. This matters more than it might seem — clients use it for their own bookkeeping, and you get a clean record for your own tax filing without having to dig back through bank statements at year-end. See our full receipt vs. invoice breakdown if the distinction is still unclear.
Common Mistakes Freelancers Make
- Vague descriptions like “design work” instead of naming the actual deliverable
- Not recording the payment method, which matters if a payment is ever disputed
- Skipping receipts entirely for smaller jobs — these add up and matter just as much for tax purposes
- Inconsistent formatting between clients, making your own bookkeeping harder to reconcile later
Do I need to charge sales tax on freelance services?
It depends on your country, state/province, and what kind of service you provide — some services are taxable, others aren’t. Set the tax field to 0 if it doesn’t apply, or check with a local accountant if you’re unsure.
Can I send a receipt through a platform like Upwork instead?
Platforms like Upwork generate their own payment records, but a separate, branded receipt still looks more professional for direct client relationships and gives you a cleaner personal record outside the platform.
What if a client pays me in a foreign currency?
Select the currency they actually paid in in the generator’s currency field, so the receipt accurately reflects the transaction rather than a converted estimate.
Should I number my freelance receipts?
Yes — sequential numbering makes it much easier to track your income across the year. See our receipt numbering guide for a simple system.
