Free Payment Receipt Generator — Fill in the Details

Business details (optional)

Printed under your business name. VAT and GST receipts usually need your address and registration number. The tax number is never put in the QR code.

Keeps the name, address, contact, tax number, logo and currency in this browser (localStorage) for your next receipt, of any type. Nothing is uploaded.

Downloading the same receipt again keeps this number; once you change the receipt, it moves to the next one. Next time, it starts after the last number you downloaded on this device.

Discount, a second tax (e.g. CGST + SGST), prices with tax included

For prices quoted with VAT or GST in them: the tax is worked out of the total, not added on top.

The discount comes off the subtotal before tax, and both taxes are charged on (or, with prices that include tax, worked out of) the discounted amount.

Scanning it shows the receipt's details on a phone. It is a convenience, not proof the receipt is genuine. How it works

What each check is based on

For receipts you issue for your own business or property. Never create a receipt on behalf of a business you don't own, or for a payment that didn't happen — see our Terms.

A payment receipt is a written confirmation that you received money from someone: who paid, how much, what it was for, how it was paid and when. Fill in the form above to issue a proof of payment in under a minute, with a transaction reference, the amount in words and any balance still due.

When to Issue a Payment Receipt

Issue one whenever you receive money and the payer needs proof — a customer settling an invoice, a client paying a milestone, a buyer paying for goods, or anyone paying you by bank transfer, cheque, card or cash. The receipt protects both sides: the payer can show they paid, and you have a clean record for your own books.

How to Fill Out a Payment Receipt

  1. Enter your name or business. This is who received the payment; add your logo if you have one.
  2. Enter who paid you. Use the payer’s full name or company name.
  3. Describe what the payment was for. Add a line for each item or invoice being paid.
  4. Add the reference numbers. The bank or payment reference and the invoice number make the receipt easy to match later.
  5. Record partial payments. If this was only part of the total, enter the Amount Paid and the balance due is calculated for you.
  6. Download and send. PDF for email, JPEG for WhatsApp.

What Should a Payment Receipt Include?

  • Your name or business name and contact details
  • The payer’s name
  • Date of payment and a receipt number
  • What the payment was for
  • Amount paid, in figures and words
  • Payment method and transaction or cheque reference
  • Any balance still due
  • Your signature

Payment Receipt vs Invoice

An invoice asks for payment; a payment receipt confirms the money has arrived. If you sent an invoice first, put its number on the receipt so the two documents are linked. Read more in our receipt vs invoice guide.

Is a bank transfer confirmation the same as a payment receipt?

No. A bank confirmation shows money left the payer’s account; a payment receipt is your confirmation that you received it and what it was for. Many customers and accountants ask for both.

Should I number my payment receipts?

Yes — a simple sequence such as 2026-001, 2026-002 keeps your records in order. See our receipt numbering guide.

Can I issue a receipt for a partial payment?

Yes. Enter the full amount as items and the part received as Amount Paid; the receipt shows the balance due.

More Questions

Is a payment receipt proof of payment?

Yes. A receipt signed or issued by the person who was paid, with the date, amount, method and what it was for, is the usual proof of payment. A bank transfer record shows money left an account; the receipt shows the payee accepted it for a specific bill.
