What Is a Refund Receipt?
A refund receipt is the record a business gives a customer when it pays money back: for returned goods, a cancelled service, an overcharge or a faulty item. It names the original receipt or invoice, says what was refunded and why, and shows how the money went back (to the card, in cash, by bank transfer or as store credit). Keep a copy with your sales records so the refund matches the original sale.
When the money is kept as store credit instead of being paid back, many businesses call the same document a credit note. Choose “Credit note” in the Document menu and the receipt says “Credit Note” and “Total credited”.
What to Include
- Your business name, and your address and contact details (under “Business details”).
- The customer who receives the refund.
- The original receipt or invoice number and its date, so the refund can be traced to the sale.
- What was refunded: one line per item or charge, with any tax refunded on it.
- The reason and the refund method.
- The refund date and the total refunded, and a signature if you hand it over in person.
How to Fill It In
- Enter your business name and the customer’s name.
- Type the original receipt or invoice number and date, then pick the reason and the refund method.
- Add one line per refunded item as a positive amount. Add the tax rate if you are refunding tax too; it prints as “Tax refunded”.
- Download the PDF, PNG or JPEG and give a copy to the customer.
Refund Receipt FAQ
Do I enter refunded amounts as negative numbers?
No. Enter them as positive amounts. The receipt is titled “Refund Receipt” and the total says “Total refunded”, which makes clear the money went back to the customer. Your own bookkeeping can record it as a negative sale.
What is the difference between a refund receipt and a credit note?
A refund receipt records money paid back to the customer. A credit note records an amount the customer can use later, such as store credit. Pick the one that matches what you gave; the layout is the same.
Is this a GST credit note?
No. In India, a GST-registered supplier issues a credit note under section 34 of the CGST Act, 2017, with the details listed in rule 53(1A) of the CGST Rules, 2017, such as your GSTIN, the original invoice’s number and date, and the tax credited. Businesses that must issue e-invoices also report credit notes on the Invoice Registration Portal. Use this receipt as a record of the refund alongside that document.
Should the refund receipt show the original receipt number?
Yes. It is the easiest way for you, your customer and your accountant to match the refund to the sale. The checker under the preview reminds you when it is empty.
